Feature: Set favorites and hide unused options per customer.
What it does
Set favorite parts or options for each customer and hide irrelevant ones. This streamlines order entry by displaying only the most frequently used or allowed glass packages and other options for that customer.
Why it matters
Many customers repeatedly order from a narrow set of products. By setting defaults and hiding unneeded selections:
- Order Entry teams speed up their workflow
- Web Order Entry becomes simpler for customers
- Reduces errors from selecting incorrect or unavailable options
- Improves customer satisfaction with a tailored experience
Versions Available: All, but redesigned in version 16.0 to add support of favorites on project and order level.
Favorites Prior to version 16.0
Customer Favorites (Customer Setup)
Favorites – Allows parts to be hidden so a specific customer cannot order it. Options can be defaulted so the option will default to being selected for this customer. Options can also be hidden.
Note: This can be configured only at the customer level, not the site level.
To set up ‘Customer Favorites’, complete the following:
- Select ‘Favorites’ in the right click menu over the customer level.
- Select the ‘Parts’ tab.
- Find the part or parts that should not be able to be ordered by this customer. Select the checkbox in the ‘Hide’ column. The part will not appear in that customer’s part drop-down list in ‘Order Entry’.
- Select the ‘Options’ tab.
- Select {All} or an individual part from the drop-down.
- Find the option or options from the grid that should not be orderable, and check ‘Hide’. Those options will not be available in the ‘Options Wizard’ in ‘Order Entry’ for this specific customer.
- Select a default option. Selecting a default option will override the standard default option that is configured for this customer.
For example, CLEAR GLASS may be the standard default option configured in Part Setup, but the user can set this customer to have LOW-E glass as the default option by checking the default checkbox next to the LOW-E option.
- When a part is selected from the drop-down at the top of the ‘Options’, an ‘Override’ checkbox will appear. Selecting this will allow the user to override if the option is hidden or defaulted for this specific part. This level has the highest priority.
For example, if an option is hidden for {All} parts but overridden to be unhidden for a specific part then orders for this customer will never see the option unless the specific part is ordered.
Favorites in version 16.0 and beyond
The following is a representation of the hierarchy that is respected when favorites are considered when defaulting an option selection on a question in options wizard. The priority decreases from top to bottom.
- Carry Downs – Options can be marked as ‘Carry Down’ in ‘Option Code Setup’ which allows options selected previously in an order to be automatically selected in later line items.
- Favorites – Below is a visual representation of how Customer, Customer-Site, Project and Order favorites are prioritized where priority decreases from left to right and top to bottom.
- Default Selections – Configured defaults on the part in ‘Part Setup’.
Option Code Setup
To provide a concise list of options that are typically defaulted, users can configure an Option Group to be a Favorite. This allows users to choose the defaults from that list.
Order Level Favorites (Order Entry)
Accesses the ‘Order Favorite Options’ screen which allows users to assign options as favorites at the order level. When default options are evaluated in options wizard, favorites will be selected over defaults configured for the question. See the hierarchy above for additional information regarding when a favorite is selected in the options wizard.
The following information is in the ‘Customer Favorite Options’ or ‘Customer Site Favorite Options’ screen:
- Parts – List of parts that have part specific favorites configured where {All} represents favorites for all parts. Users can use the green plus to add a part to the list to create part specific favorites. Favorites made at the part level, will be selected over favorites made at the {All} level. The parts grid also allows users to delete the part using the red ‘X’ as well as a ‘Warnings’ column that will display an icon if the part is being hidden.
Note: If a part is added but the favorites configured match {All}, the part will be removed from the list upon closing the screen.
- Groups – Drop down that filters the list of option groups that appear in the ‘Options’ section. Option groups can be marked as ‘Favorites’ in ‘Option Code Setup’.
- Options – List of option groups with options to set as favorites. Choosing an option from the drop down will make that option a favorite for that order and will be selected, if possible, in the options wizard when a part is added to the order that contains the option.
The blue plus exists to the right of each drop down to allow the user to select multiple options as favorites. This icon will switch to a minus to allow the drop down to return. If multiple selections are made for the option group, this icon will become disabled.
If a favorite is prepopulated at a higher level in the hierarchy, an icon will appear to the right of the plus icon that will contain a tool tip giving information as to why the favorite is displaying its current value.
Note: In the case that two options are favorites, the first option that is found will be set as the option selection by default.
Project Level Favorites (Project Setup)
Accesses ‘Project Favorite Options’ which allows users to assign options as favorites at the project level. When default options are evaluated in options wizard, favorites will be selected over defaults configured for the question. See the hierarchy above for additional information regarding when a favorite is selected in the options wizard.
The following information is in the ‘Project Favorite Options’ screen:
- Parts – List of parts that have part specific favorites configured where {All} represents favorites for all parts. Users can use the green plus to add a part to the list to create part specific favorites. Favorites made at the part level, will be selected over favorites made at the {All} level. Note: Favorites are a customer level setting which means if the customer is configured for multiple locations, the screen will be read-only unless {All} is selected in the ‘Location’ drop down.
Customer Hidden Parts and Options (Customer Setup)
- Customer Hidden Parts and Options / Customer Site Hidden Parts and Options – Allows users to mark parts and options as hidden at the customer or customer site level. When an order is created for the customer at any location, parts will be hidden from the line-item grid. When options visibility is considered in options wizard, these settings will take priority of option visibility configured in ‘Part Setup’. If all options of a question are hidden, the question will be hidden as well.
- Parts – The parts tab is used to configure parts to be hidden for the selected customer. The user can use the green plus at the top of the tab to add a part. If a part is hidden at the customer level, that part will be hidden at the customer site level as well by default.
- Part Number – Part number of the hidden part.
- Part Suffix – Part suffix of the hidden part.
- Description – Part description of the hidden part.
- Hint – Field to describe at what level the part is being hidden.
- Commands – Allows the user to delete the part from the list of hidden parts.
- Options – The options tab is used to configure options to be hidden for the selected customer.
- Parts – The parts section is used to configure part specific overrides for hidden options. The user can use the green plus above the parts grid to specify part specific overrides. If an option is hidden at the {All} part level, the option will be hidden at the part specific level as well by default.
- Part Number – Part number for the part specific override.
- Commands – Allows the user to remove the part specific override.
- Warnings – An icon will appear with a tool tip when overrides exist at a higher level that may be affected by the part specific override.
- Parts – The parts section is used to configure part specific overrides for hidden options. The user can use the green plus above the parts grid to specify part specific overrides. If an option is hidden at the {All} part level, the option will be hidden at the part specific level as well by default.
- Options – The options section is used to add hidden options. The user can use the green plus above the options grid to add options as hidden for all parts or specific parts. If an option is hidden at the customer level, the option will be hidden at the customer site level as well by default.
- Code – Option code to be hidden.
- Description – Description of the option code to be hidden.
- Hint – Field to describe at what level the option is being hidden.
- Commands – Allows the user to remove the option from the list of hidden options.
